Instrument Repair and Purchase Procedures 2009-2010

Please follow these procedures and rules to ensure Saint Paul Public Schools' musical instruments are repaired quickly and with quality.

When selecting a vendor, please compare repair estimates to use funding wisely.  Contact Kathy Mathieu if you have questions. The District requests that if a vendor would like to meet with Kathy or Jan, they call and schedule a meeting time.

Procedures:
  1. Teacher or vendor contacts Kathy Mathieu for pre-approval for instrument repair or piano tuning.
  2. Kathy authorizes repair and provides authorization number.
  3. Vendor provides authorized repair services within a reasonable amount of time.
  4. Vendor submits invoice to Kathy Mathieu referencing authorization number.
  5. Invoice is submitted to the business office for payment to vendor.
Rules:
  1. Fees for instrument repairs, piano tuning or other work performed and completed without district pre-approval and authorization number, will be the responsibility of the school. 
  2. Instruments must be repaired within the fiscal year authorizations were made. Vendors may not hold on to instruments beyond that fiscal year  in anticipation of new funding.
